Event Planner

Are you a great communicator with an eye for detail and organization? We are looking for an Event Planner to join our team.

  • Customer Service Experience: You have practical experience in customer service and can provide extraordinary service to our clients in person, over the phone, or by email.

  • Flexibility: You are flexible with your work hours and days. While the job is typically Monday to Friday from 9 to 5, you will be required to work evenings and weekends during events.
  • Energy and Enthusiasm: You are energetic and understand the importance of providing the best for our clients.
  • Confidence and Initiative: You are confident and a self-starter, capable of managing your workflow and prioritizing projects.
  • Time and Budget Management: You work diligently to ensure tasks are completed on time and within budget.

Duties:

  • Support the Director of Operations with day-to-day tasks and projects as requested.
  • Meet with clients and manage client and vendor relationships.
  • Manage budgets and ensure costs do not exceed approved amounts.
  • Reconcile and code payments.
  • Develop and maintain event critical paths.
  • Meet with team members and stakeholders.
  • Provide on-site support to event organizers/managers.
  • Work with clients to determine project goals, organize event logistics, and present project wrap-ups.
  • Recruit and manage corporate sponsorships.
  • Collaborate with the Director of Operations on ticketing and reporting.
  • Procure and manage vendors, including booking and working with suppliers for food, venues, transportation, accommodations, services, contractors, printed materials, marketing, entertainment, products, and equipment.
  • Write reports.
  • Support all staff on projects during high-need periods.

Education:

  • University or college education and/or relevant work experience.
  • Specializations in business, tourism, event planning, or marketing are assets.

Direct Report:

  • The incumbent will work a mix of in-office and remote work and report directly to Emma MacKenzie, Director of Operations.

Salary:

The salary for this position is commensurate with the candidate’s qualifications, including their years of experience and specific skill set.
